Commitment to Immigration and Community Support

Embed a supported referrals system for newcomers to Canada.

Commitment:

Part A: Supported Referral Systems (For new hires during on-boarding)

Meet with Settlement Services in the Bow Valley to customize and embed a supported referral system for your organization, including on-boarding and transitioning to Permanent Residency. This will include creating a Standard Operating Procedure outlining the following:

  • a. Upon hire, provide eligible foreign-born employees with a Newcomers to Canada information card and help them to complete a Newcomers to Canada Sign Up Form if needed.

  • b. Within 30-days of employee start date, provide eligible employees with reminder Information Cards.

  • c. (If applicable) Host an on-site 1-hour “Bow Valley Essentials” orientation facilitated by SSBV for new foreign-born employees with the same first language who require support with English communication, within 30 days of employee start date. These sessions are offered with interpretation at no cost to employers for a minimum of 8 employees meeting the above criteria. 

    • Example: An employer has hired 12 new refugee employees from the same country of origin/region with minimal English. SSBV will deliver an information session in their preferred language to ensure strong community connections and workplace integration as early as possible.


Evidence: Standard Operating Procedure, approved by SSBV.

Part B: Community Connections (For ongoing support and changing immigration statuses)

  • a. Create a Standard Operating Procedure to facilitate supported referrals when employees transition from temporary resident to Permanent Resident of Canada (PR). For example, when employees provide new SIN numbers for payroll, employers automatically connect them to Settlement Services in the Bow Valley.

  • b. Provide a link to the Newcomers to Canada Sign Up Form and QR code in regular employee communication (eg: newsletters, pay slips, internal social media). This should be at least once a month.

  • c. Post the Settlement Services in the Bow Valley information card and/or sheet in a central employee space (eg: employee break rooms, Central Information Hubs, or other information space).

Evidence

Evidence may include the following:

  • Onboarding checklist update

  • Referral information shared

  • Staff guide or handout

  • Example of Standard Operating Procedure to support applications for Permanent Residency

  • Once you have completed each of the above requirements, upload your evidence using our online form as soon as possible. This allows time for review and feedback.

  • Evidence may be in the form of a document, email, newsletter, meeting minutes, social media post, etc.

  • Deadline to submit all evidence for the 2026-2027 WIC: 3PM, Tuesday, November 30th, 2027.

  • By November 30th, 2027: Deadline to submit evidence of your two Job Advertisements and Reflection (if applicable) for review.

The problem we’re trying to solve:

  • Newcomers to Canada often do not know about the local supports and resources that they can access.

  • Navigating immigration pathways and settlement information can be chalenging and stressful, especially if language is a barrier.

    • Waiting until a crisis to connect with resource can lead to more issues. Connecting to local immigration and community services early can help newcomers to Canada better thrive in the workplace and community.

Benefits:

  • Connecting to immigration and community support as soon as newcomers to Canada arrive in the Bow Valley can help reduce isolation and confusion, and increase employee wellbeing.

  • Local resources such as Foreign Worker Support Services and Settlement Services in the Bow Valley are government-funded, official information sources that can offer free and confidential support for local employees.

  • Community links improve workplace and community integration, leading to smoother onboarding and less pressure on supervisors and Human Resources teams.
